A Small Office Supply Reorder Sheet You Can Maintain in Minutes

A useful reorder sheet needs only a few columns, but each must mean the same thing every week. Coffee pods, paper towels, and tissue boxes become difficult to manage when everything is counted as a “pack.”

Give every supply a clear unit

Record the product, what one order contains, unopened stock, typical weekly use, and the next review date. Add the exact product link so the next person can check the current listing instead of guessing from a short nickname.

For the linked examples, use pods for the 120-count coffee box, towels or cases for the multifold listing, and boxes for the tissue pack. If a case contains 4,000 towels, write that conversion beside the case count. Do not mix cases and loose towels in one unexplained total.

Count on a consistent day

Choose a review day when the supply shelf can be checked reliably. Count what is physically present, include any known incoming order separately, and record unusually busy weeks. A meeting or office closure can change consumption enough to distort a short average.

Set the reorder point using expected use until the next delivery plus any buffer you deliberately choose. Keep the buffer visible instead of repeatedly rounding every line upward without explanation.

Make handoffs easy

Assign one person to place an approved order and another location for the receipt or confirmation. Mark an item as ordered when it is actually submitted, not merely when someone intends to buy it. This reduces duplicate purchases.

On receipt, reconcile the delivered units with the sheet and update stock. If the product changed, check format and package quantity before treating it as the same item.

Keep the sheet small enough to use. Start with the few supplies whose shortages or excess stock cause the most inconvenience, then add items only when they benefit from the routine. Exact units and a consistent review usually matter more than a complicated spreadsheet.
