A Coffee Station Restock Checklist for Hybrid Offices

A hybrid office rarely uses coffee at the same rate every day. Restocking works better when the plan reflects attendance and the equipment people actually use.

Count by day, then by format

Start with expected in-office attendance and any planned meetings. Track pods separately from whole-bean coffee because their purchasing units differ. Do not convert every employee into a fixed number of drinks without checking actual use.

Check the station before ordering

  • Count unopened coffee and note any open package in use.
  • Confirm the brewer model and compatible coffee format.
  • Check filters or other consumables required by that brewer.
  • Keep regular and decaf requirements on separate lines.
  • Review any incoming order before adding another.

Ask the person who maintains the station to note cleaning and preparation needs according to the equipment instructions. A fully stocked coffee shelf is not the same as a ready-to-use station.

Use two planning cases

Keep a normal-week estimate and a busy-week estimate. A training day may justify extra supply, while a holiday week may need less. Record which case you used so the next buyer understands why the quantity changed.

After the week, compare starting stock, additions, and remaining stock. If the estimate was off, revise the next order instead of repeating it automatically.

Leave one clear reorder note with the product link, package quantity, preferred format, and review date. It lets another team member restock accurately without turning a brand name or an old receipt into a permanent purchasing rule.
